Terms, Conditions & Online Safeguarding Information

By signing up, you (“Parent/Guardian”) agree to the following terms on behalf of your child (“Student”).

This document covers both weekly courses and one-off webinars. Please read carefully.


1. Our Commitment to Quality

The Academic Coach Ltd is committed to providing high-quality online education.
All coaches are qualified teachers and hold enhanced DBS (Disclosure and Barring Service) checks.
This ensures professionalism, safeguarding, and dedication to each student’s educational development.


Section A: Weekly Sessions

2. Paying for Your Course

  • Payment must be made in full before each half-term course begins.

  • Refunds are only given for reasons listed in the Refund Policy below.

  • No trial lessons are offered; half-terms are short, and students need consistency to benefit.


3. Refund Policy

We Give Refunds If:

  • The tutor cancels a lesson.

  • A technical problem on our side prevents the lesson from taking place.

We Don’t Give Refunds If:

  • The issue is with your device, internet, or software.

  • Microsoft Teams is not set up correctly.

💡 Tip: Test Teams login before the first lesson to ensure smooth access.


4. Individual Student Start-Up Rates

  • If a new class is created for you, the one-to-one rate applies:

    • KS3: £30 per lesson

    • GCSE: £35 per lesson

    • A-Level: £45 per lesson

  • When other students join, your price drops to the group rate (£25), and any overpayment is credited to your next bill.

  • Invite friends to join and earn free lessons (see Refer a Friend scheme).


5. Sessions

  • Format: All weekly sessions are group-based to encourage collaborative learning. Class sizes are small.

  • Platform & Resources: Delivered via Microsoft Teams; additional resources may be provided. Not logging in correctly may prevent access.

  • Recording for Safeguarding:

    • Lessons with only one student may be recorded for safeguarding.

    • Recordings stored securely and deleted at the end of the academic year.

  • Recording for Absentees:

    • At tutor discretion; no obligation to record. No refund if recording unavailable.


6. Cancellations & Rescheduling

  • If a tutor cannot teach, every effort will be made to reschedule.

  • If rescheduling isn’t possible, a refund or credit applies.

  • If not all students can attend the rescheduled lesson, it may be recorded and shared.


7. Technical Requirements

  • Stable internet and device capable of running Teams.

  • Refunds not provided for technical issues on the student’s side.

  • Join lessons 10 minutes early.


8. What You Will Need

  • Paper, notepad, folder, pencil case

  • Calculator for Maths/Science

  • Periodic table for Science

  • Occasional printing depending on subject


9. Online Safeguarding

Parents/carers agree to:

  • Consent to participation

  • Ensure student attends lessons in a safe, shared space

  • Maintain professional language

  • Ensure appropriate dress

Webcams On:

  • Mandatory for weekly sessions

  • Students may blur background but must be visible

Section B: Webinars (Single Sessions)

10. Booking & Payment

  • Payment must be made in full at the time of booking.

  • Webinars are one-off sessions; not weekly courses.

  • Refunds are provided only if the session is cancelled by The Academic Coach Ltd or technical issues on our side prevent delivery.


11. Session Format

  • Webinars are delivered via Microsoft Teams.

  • Cameras remain off; participation via chat only.

  • Students are not required to speak.

  • Resources (booklets, templates) will be shared during or after the session.


12. Recording

  • Webinars will be recorded for replay and may be used for future on-demand sessions.

  • Students will not appear on camera, and personal information will not be shared.

  • Recordings are stored securely and managed according to GDPR and safeguarding policies.


13. GDPR & Marketing Consent

  • Parent/guardian consent required for student participation.

  • Optional marketing consent may be collected for future courses and bootcamps.

  • Only parents who opt in will receive marketing emails.

  • Consent may be withdrawn at any time.


14. Technical Requirements

  • Stable internet and device capable of Teams.

  • Log in 5–10 minutes before the start time.

  • The Academic Coach Ltd is not responsible for technical issues on the student’s side.


15. Safeguarding

Parents/carers agree to:

  • Consent to participation

  • Ensure student attends in a safe, shared space

  • Maintain professional and appropriate language

  • Ensure appropriate dress

16. No Grade Guarantees

  • The Academic Coach Ltd provides resources and guidance, but cannot guarantee outcomes.

  • Results depend on student effort, study habits, and external circumstances.
